Decluttr Tip - 12 Top Tips for a Tip-Top desk

One thing that you need to remember in your office and in life generally, that you need to keep control of your desk and space all the time. You have to define what you should keep and what you should stay and how to organise what remains. There are various ways to organise your desk, but here are a few to help you start the process:

1.  Spend 5 minutes at the end of each day compiling a list of 5 “to-do’s” for the next day.

2.  Anything that does not belong in your office should be shredded, recycled, discarded to or handed over to another person who could use the item.

3.  Add your own personal touch to the office including putting up photos, office supplies that you enjoy using, etc.

4.  Read an incoming mail daily. Once you have opened the mail use the acronym – FAT – File, Act and Toss. The same rule can be applied to all paper that comes into your office.

5.  Create files/folders that require daily action for example: paperwork to be signed, reviewed by your manager, bills, discussion points with certain departments. Store the papers in a desktop file organiser for easy access.

6.  When creating the space, consider who will use the space, how often it will be used and what tasks will be done in it.

7.  Use calendars such as ICal for all personal and business matters. If you use a paper calendar you can schedule business, personal matters and or family members in different colours for ease of review. If you are using an online calendar use the reminder system to help notify you of actions, weeks, days or hours before.

8.  Set yourself a functional filing system so that you are organised from now.

9.  Set a reminder every week (preferably on the same day each week) to spend 15-30 minutes filing. It is preferable not to use the last day of the week, as that seems to be the day everyone decides to have deadlines.

10.  Instead of using sticky notes, have a small notebook by your side to write small notes.  I recommend using Evernote as it syncs to your devices and you can access the notes online as well.11.  Put up a bulletin board or clipboard to visualize any ideas or matters you want to look at any time.

11.  At the end of the day spend 15 minutes to clean you desk and return items to their assigned location in your office. You will start the new day with a clean, organised area.
